{"id":100,"date":"2018-12-18T23:25:13","date_gmt":"2018-12-18T23:25:13","guid":{"rendered":"http:\/\/www.kofrimpong.com\/?p=100"},"modified":"2024-04-06T12:30:58","modified_gmt":"2024-04-06T12:30:58","slug":"assigning-microsoft-flow-approvals-to-office-365-groups","status":"publish","type":"post","link":"https:\/\/www.kofrimpong.com\/assigning-microsoft-flow-approvals-to-office-365-groups\/","title":{"rendered":"Assigning Microsoft Flow (Power Automate) approvals to Office 365 Groups"},"content":{"rendered":"<p>If you are coming from SharePoint background and you are used to the SharePoint approval process, one of the features you will find missing (as at the time of this post) is the ability to assign Office 365 groups or SharePoint groups as an approver when using Flow approval.<\/p>\n<p>The &#8220;Start an approval&#8221; action in Flow, only supports assigning an approval flow to one individual email address (one approver) or multiple email addresses separated by a semicolon (multiple approvers).<\/p>\n<p>Being able to assign approval process to groups is very important especially when you are dealing with a fluid environment. You do not want to tie an approval process to an individual. This will cause a problem when the individual cannot work on the process for some reasons. In a situation where the person leaves the organization altogether, you might have to go back and change these approval flows. Using groups solves this. You just remove the person and add the new person to the group, and the flow works. You don\u2019t have to touch the process.<\/p>\n<p>In this post, I will show you a work around to solve this issue. This will be a flow that is triggered when an item is added to a SharePoint list. I will walk you through the process.<\/p>\n<p><strong>Step 1<\/strong>. Create a blank Flow<br \/>\n<strong>Step 2<\/strong>: For the trigger, select <code>When an item is created<\/code><\/p>\n<p style=\"text-align: left;\"><a href=\"http:\/\/www.kofrimpong.com\/wp-content\/uploads\/2018\/12\/flow-when-item-is-created-action.png\"><img loading=\"lazy\" decoding=\"async\" class=\"size-full wp-image-106 aligncenter\" src=\"http:\/\/www.kofrimpong.com\/wp-content\/uploads\/2018\/12\/flow-when-item-is-created-action.png\" alt=\"\" width=\"676\" height=\"94\" srcset=\"https:\/\/www.kofrimpong.com\/wp-content\/uploads\/2018\/12\/flow-when-item-is-created-action.png 676w, https:\/\/www.kofrimpong.com\/wp-content\/uploads\/2018\/12\/flow-when-item-is-created-action-300x42.png 300w\" sizes=\"(max-width: 676px) 100vw, 676px\" \/><\/a><\/p>\n<p><strong>Step 3<\/strong>: Add the <code>Initialize variable<\/code> action. Name the variable <code>EmailList<\/code>. For the Group Id, enter the Office 365 group you want send the approval to.<\/p>\n<p><a href=\"http:\/\/www.kofrimpong.com\/wp-content\/uploads\/2018\/12\/flow-list-group-members-action.png\"><img loading=\"lazy\" decoding=\"async\" class=\"wp-image-104 size-full aligncenter\" src=\"http:\/\/www.kofrimpong.com\/wp-content\/uploads\/2018\/12\/flow-list-group-members-action.png\" alt=\"\" width=\"676\" height=\"144\" srcset=\"https:\/\/www.kofrimpong.com\/wp-content\/uploads\/2018\/12\/flow-list-group-members-action.png 676w, https:\/\/www.kofrimpong.com\/wp-content\/uploads\/2018\/12\/flow-list-group-members-action-300x64.png 300w\" sizes=\"(max-width: 676px) 100vw, 676px\" \/><\/a><\/p>\n<p><strong>Step 5<\/strong>: Add the control, <code>Apply to each<\/code>. This action is used to loop through an array of items. For <code>Select and output from previous step<\/code>, use the dynamic dialog to select <code>value<\/code><\/p>\n<p style=\"text-align: left;\">Add the <code>Append to array<\/code> action inside the <code>Apply to each<\/code> control. For the name, enter <code>EmailList<\/code> and for the value, use the dynamic dialog to select <code>Mail<\/code><\/p>\n<p><a href=\"http:\/\/www.kofrimpong.com\/wp-content\/uploads\/2018\/12\/flow-apply-to-each-action.png\"><img loading=\"lazy\" decoding=\"async\" class=\"wp-image-101 size-full aligncenter\" src=\"http:\/\/www.kofrimpong.com\/wp-content\/uploads\/2018\/12\/flow-apply-to-each-action.png\" alt=\"\" width=\"676\" height=\"437\" srcset=\"https:\/\/www.kofrimpong.com\/wp-content\/uploads\/2018\/12\/flow-apply-to-each-action.png 676w, https:\/\/www.kofrimpong.com\/wp-content\/uploads\/2018\/12\/flow-apply-to-each-action-300x194.png 300w\" sizes=\"(max-width: 676px) 100vw, 676px\" \/><\/a><\/p>\n<p><strong>Step 6<\/strong>: Add a <code>Join<\/code> action. This action is used to join array elements with a specified <code>glue<\/code>. For the Assigned To, use the dynamic dialog box to select output, under the join action.
